We are looking for an organised, dependable and service-oriented Office Coordinator to support our daily office operations and examination activities.

About the Role

As an Office Coordinator, you will play a key role in ensuring the smooth day-to-day functioning of the office while supporting the planning and execution of language examinations. This role combines administrative responsibilities, facilities coordination, vendor management and exam operations.

You will work closely with students, candidates, faculty, external vendors and internal teams to ensure a professional and efficient experience for everyone interacting with Quadrigo.

Key Responsibilities

Office Administration

  • Coordinate daily administrative activities and ensure smooth office operations.
  • Manage front office activities and respond to student and visitor enquiries.
  • Maintain office records, files and administrative documentation.
  • Coordinate with different departments to ensure efficient workflow.

Exam Operations

  • Support the planning and execution of examination days.
  • Prepare examination rooms and materials.
  • Supervise examination halls and ensure adherence to examination regulations.
  • Verify candidate documentation and identity.
  • Coordinate candidate name corrections and certificate collection processes.
  • Maintain confidentiality and integrity throughout the examination process.

Vendor & Facilities Management

  • Coordinate with vendors for housekeeping, maintenance, office supplies and other facility requirements.
  • Monitor vendor performance and ensure timely completion of services.
  • Track purchase requests, invoices and vendor documentation.
  • Ensure the office remains clean, organised and fully operational.

Inventory & Logistics

  • Maintain inventory of office supplies and examination materials.
  • Coordinate procurement and replenishment of required items.
  • Support logistics for events, workshops and examinations.

Field Work

  • Visit banks, government offices, vendors or other external locations as required.
  • Support local procurement and operational activities.

General Support

  • Assist during events, student orientations and organisational programmes.
  • Undertake additional administrative responsibilities as assigned.

Qualifications

  • Minimum Higher Secondary (12th Pass). A Bachelor's Degree in any discipline is preferred.
  • 1–3 years of experience in office administration, operations, customer service or coordination roles preferred.
  • Fresh graduates with excellent organisational skills are also encouraged to apply.

Skills & Requirements

  • Excellent communication skills in English (spoken and written).
  • Knowledge of Kannada (Bangalore) or Malayalam (Kochi) will be an added advantage.
  • Strong organisational and multitasking abilities.
  • Good interpersonal and customer service skills.
  • Ability to work independently and as part of a team.
  • Comfortable using Microsoft Office or Google Workspace.
  • High attention to detail and commitment to accuracy.
  • Professional, reliable and trustworthy.
  • Willingness to occasionally work extended hours during examination days or special events.

Work Schedule

  • Working Days: Monday to Friday
  • Working Hours: 9:00 AM – 5:00 PM
  • Flexibility required during examinations and organisational events.
